What information do we collect and how?
We collect and retain the personal details of our members (i.e. name, address, telephone number and email address) and their guests (name, email address and if a Beverley resident – Yes/No only). This information is collected when members join our Society by paying the subscription fee, and when guests attend our monthly screenings.
What do we use members’ and guests’ personal details for?
We use members’ and guests’ personal details to notify them of our monthly screenings, meetings, AGM and any other film-related events we hold or those run by other organisations in the local area which we think our member will be interested in. We communicate this information via our newsletter (for those members and guests who have opted-in to this) and other adhoc emails throughout the year using MailChimp software, which is a US company which is GDPR compliant. We will never share these details with any other organisation or society, or sell on details.
How do we store this information and long do we keep it?
We store members and guests personal details in the MailChimp on-line software, which is a US based company, which is GDPR compliant. We will keep these personal details only for as long as we need to provide a service to our members and guests with their permission where relevant.
Members’ and guests’ collection and retention of information is as follows:
- Current members – personal details are collected and kept via the joining form. Members are asked to confirm that no details have changed, particularly email addresses on an annual basis. By joining the Society and paying the annual subscription members are agreeing to the sharing of their personal details with us for the purposes as stated above and to the storage of their details on MailChimp.
- Ex-members – personal details are retained for one year after membership has ceased to enable us to continue to communicate via the newsletter (with permission) and make rejoining easier for temporary lapses in membership, unless an ex-member asks to be deleted from the database sooner.
- Guests – email addresses are taken with verbal permission when they attend a screening in order to start receiving our newsletter. An Unsubscribe facility is available in the electronic newsletter for guests to use if they wish to stop receiving this information and their email address will then be deleted from our database.
The collection and use of members’ and guests’ personal details conforms to the Data Protection Act 2018 and the General Data Protection Regulations.
